Order Taking¶
Order taking is the process of receiving, clarifying, and accurately recording a customer's drink and food requests. It is a foundational service skill that directly affects both the customer experience and bar workflow efficiency.
Why It Matters¶
An order taken accurately the first time eliminates remakes, reduces waste, and keeps the queue moving. More importantly, the way an order is taken shapes how valued a customer feels. A barista who listens attentively, asks the right questions, and confirms the order back communicates competence and care.
Core Process¶
- Listen actively — give the customer your full attention; do not begin calling the order to the machine until they have finished speaking
- Clarify ambiguous requests — if a customer says "flat white," confirm the size and milk type if your café offers variations; ask once, not repeatedly
- Repeat back the order — summarise the order aloud before entering it into the till; this catches errors before they reach the bar
- Confirm the name — for table or pick-up orders, take a name clearly and write or enter it legibly
- Communicate wait times honestly — if the bar is backed up, a brief, honest note ("it'll be about five minutes") manages expectations and reduces check-ins
Common Pitfalls¶
- Interrupting the customer mid-order
- Assuming what a customer wants based on appearance or past orders without checking
- Entering the order into the till before it is fully heard
- Forgetting to note dietary requirements or allergy flags
Dietary and Allergy Awareness¶
Order taking is the first line of defence for allergy safety. A Level 1 barista must know to flag any allergy-related requests to a supervisor or experienced staff member immediately, and to never guess whether an ingredient is safe.
At Level 1¶
At the Foundation level, the focus is on accuracy and attentiveness. Speed will develop naturally; the priority is building the habit of listening fully, repeating back the order, and entering it correctly every time.
